If you’ve ever sat through a hybrid meeting that felt more like two awkward conversations stitched together, you’re not alone. Remote and hybrid work have unlocked incredible flexibility and talent reach — but they’ve also exposed how much we rely on old meeting habits that don’t translate well when half the team is on a screen.

I’ve led teams in offices, across continents, and through more Zoom calls than I can count. Here’s what I’ve learned: when you’re intentional about how you run hybrid meetings, you earn trust, clarity, and better outcomes. If you’re not intentional? You risk confusion, distractions, and frustrated teammates.

Here are six practical ways to lead remote and hybrid meetings that actually work for everyone — whether they’re in the room or dialing in from home.


Engage Everyone, Equally

It’s easy to default to the people physically sitting near you — but your remote teammates deserve the same presence. Make eye contact with your camera occasionally, pause for input from the virtual side, and check for reactions. Inclusion isn’t a nice-to-have; it’s a productivity booster.


Present Digitally, Not Just Physically

Avoid whiteboards no one remote can see. If you’re mapping out ideas or showing visuals, use a digital whiteboard or shared doc. That way, everyone can contribute and refer back later. Think digital first — it levels the playing field.


Start Early, Recap Often

Hallway chats happen naturally in person — not so much online. Log in a few minutes early, welcome people as they join, and give quick context for anyone who may have missed small talk or side notes. End with a recap so everyone leaves with the same understanding.


Keep the Call Open After the Room Clears

One of the biggest frustrations for remote team members is when decisions get made after the “official” meeting ends. Keep the virtual room open for a few minutes after the main meeting wraps up. Give people a chance to ask clarifying questions or raise concerns they didn’t want to interrupt for.

Leverage AI tools to capture meeting notes, track action items, and highlight next steps. This isn’t about replacing the human touch — it’s about freeing you up to focus on guiding the conversation instead of scribbling notes.
